Transcripts
Official Transcripts
The Registrar’s Office supplies transcripts of academic records to students who have no outstanding obligations to the college. Transcripts may be requested online through the National Student Clearinghouse. We recommend that transcripts be requested at least seven to ten working days before they are needed. Each official copy will be $10.25 for a mail or pick copies or $11.25 for a digital copy.
Unofficial Transcript
- For current students: an unofficial transcript can be printed through Self-Service or form filled out with the Registrar’s Office and pay a $2 fee with the Cashier
- Prior Students: Form filled out with the Registrar’s Office and pay a $2 fee with the Cashier
**Transcripts that were obtained from other institutions for College of Eastern Idaho’s use will not be released to the student or other institutions.
Enrollment Verification Requested by Student
Enrollment verification is used to officially verify a student’s enrollment status, credit hours, anticipated graduation date, and proof of attendance. Form must be filled out in the Registrar’s Office before verification is printed.
Student Name Change Process
It is the student’s responsibility to ensure that their information in CEI’s system is current and accurate. In order to change first, middle, last, and/or preferred name, students must fill out the “Student Name Change Form” that is posted on the CEI website or come to the Registrar’s Office in the Christofferson Building, room 353.
Student Record Name (Legal Name)
The student record name at CEI is the legal name that is provided by the applicant through the admissions application process. This name will be displayed on official/unofficial transcripts, formal correspondence provided to the student by CEI, financial documents, and any Microsoft software. This is NOT the same as chosen name.
Chosen Name
A chosen name is what the student would like CEI employees to address them as instead of their student record name (legal name). If entered at the time of application or after, a chosen name will be displayed on class rosters, Self-Service and Canvas. Email and login information will only be created with chosen name if information was entered at the time of application. This is similar to a nickname that a student prefers. If a chosen name isn’t entered on the application and a student wishes to add one later, a chosen name change form will need to be completed with the Registrar’s Office.
Documents for Legal Name Change
Students must provide proof of identity when requesting to update their student record. CEI requires one of the following items that display their new name:
- Certified Court Order Granting Name Change (Marriage, Divorce, Court Order)
- Government Issued Photo ID (i.e. Driver’s License, Passport, Military ID)
- Social Security Card
Commencement Program Name
The name used on the commencement program is the student record name (legal name) in CEI’s system.
Diploma Name
Students can choose what name is printed on their diploma. This is done when students fill out the application for graduation. To update diploma name, students must contact the Associate Registrar before graduation is processed for the term they wish to graduate in.

Solomon Amendment
Under the Solomon Amendment, institutions are required to provide directory-type information on students, at least 17 years of age who are registered for at least one credit, upon request from representatives of the Department of Defense branches. These requests must be processed through the Registrar’s Office. Before requests are processed, the Registrar’s Office verify that all required paperwork is submitted correctly.
